Zapier is the easiest, Make is the most visual and n8n gives you the most control. Here is a practical comparison of pricing models, AI features, hosting and when to choose each one.
Every business has busy work: copying leads into a CRM, answering the same WhatsApp questions, sending invoices, building the same weekly report. Workflow automation tools take that work off your team. The three names you hear most are Zapier, Make and n8n.
They all connect apps and run steps automatically, but they suit different businesses. We build automations on all three and specialise in n8n, so here is a practical, no-hype comparison.
| Zapier | Make | n8n | |
|---|---|---|---|
| Best for | Simple automations, non-technical teams | Visual multi-step scenarios | Complex, high-volume and AI workflows |
| Hosting | Cloud only | Cloud only | Self-hosted or n8n Cloud |
| Pricing model | Per task | Per operation or credit | Self-hosted: no per-task fees; Cloud: per execution |
| Integrations | The largest app library | Large library | Hundreds of nodes, plus HTTP and code for any API |
| Code when needed | Limited | Limited | JavaScript and Python steps |
| AI features | AI steps and agents | AI modules | AI agent and LLM nodes with memory and tools |
| Data control | Data passes through Zapier | Data passes through Make | Can stay entirely on your own server |
Pricing and plan limits change often, so always check each vendor’s current pricing page before deciding.
Zapier connects thousands of apps and is famously easy: pick a trigger, pick an action, done. For a small team that needs “new form entry → add to Google Sheets → send Slack message”, it is hard to beat.
Watch out for: cost at scale. Zapier counts tasks, so a busy workflow that runs thousands of times a month can become one of your bigger software bills. Complex logic with many branches can also get awkward.
Make (formerly Integromat) shows your workflow as a visual map of connected modules. It handles branching, loops and data transformation well and is usually cheaper than Zapier for the same work.
Watch out for: the learning curve is steeper than Zapier, and you still pay per operation, so high-volume workflows add up. Like Zapier, it is cloud only.
n8n is a workflow automation platform you can self-host on your own server or use as n8n Cloud. Its visual editor feels similar to Make, but you can drop into JavaScript or Python whenever a step needs custom logic, and call any API with the HTTP node.
Three things make n8n stand out:
Watch out for: self-hosting means someone must look after the server, updates, backups and monitoring. That is exactly what our n8n care plans cover.
Many businesses start on Zapier, then move to n8n when bills grow or workflows get complex. A migration usually means:
