Car Detailing, Auto Spa and Workshop Software: What to Look For in 2026

Running an auto spa, detailing studio, PPF studio or workshop on registers and spreadsheets costs money every day. Here are the features that matter in auto business software, and the questions to ask before you buy.

An auto business is two businesses in one. You sell services, such as detailing, PPF, ceramic coating, car washes, oil changes and repairs, and you sell products, such as accessories, oils and parts. Most software is built for only one of those, which is why so many auto spas and workshops still run on registers, WhatsApp groups and spreadsheets.

This guide explains what good auto business software should do, the warning signs that you have outgrown your current set-up, and the questions to ask any vendor.

Signs you have outgrown registers and spreadsheets

  • You cannot say today’s real profit without waiting for the accountant.
  • Customers ask “is my car ready?” and staff have to walk to the bay to check.
  • Stock runs out of fast-moving items, while slow items sit on shelves for months.
  • Nobody is sure which customers owe money and for how long.
  • Each department (PPF, detailing, wash, accessories) keeps its own records, and the numbers never match.
  • The owner has to be in the shop to know what is going on.

If three or more of these sound familiar, software will pay for itself quickly.

The features that matter

1. Services and products on one invoice

A customer gets PPF on the bonnet, a ceramic coating and buys floor mats. That should be one invoice, with each item counted in the right department’s sales. If your system cannot do this, you will always have two sets of numbers.

2. Job orders and a job board

Every vehicle should have a job order that moves through clear stages: Open, In progress, For inspection, Ready for delivery, On hold. A job board shows the whole workshop at a glance and flags jobs that are running late, so you can tell customers the truth before they call.

3. Departments with their own numbers

PPF studio, detailing studio, car wash, oil change, accessories store and fitting labour each need their own sales figures. That is how you see which department makes money and which needs attention.

4. Inventory that stays accurate

Look for stock value at cost price, reorder levels, low-stock and out-of-stock alerts, and a list of best-selling products. Stock should reduce automatically when it is sold or used on a job.

5. Customer credit and ageing

Many auto businesses give credit to regular customers, dealers and fleet owners. Good software shows who owes what and for how long: 0–30, 31–60, 61–90 and over 90 days. Old dues are where profit quietly disappears.

6. Suppliers and payables

What you owe each supplier, and your net position against what customers owe you, should be one click away.

7. Expenses, salaries and real profit

Net sale and gross profit are useful, but net profit after expenses and salaries is the number that matters. Your dashboard should show it for any period and compare it with last month.

8. Roles and access

Owners, managers, accountants and counter staff need different views. Staff should not see profit margins; accountants need every detail.

9. Access from anywhere

Cloud software that runs in the browser lets owners check sales, the job board and cash from home or while travelling, with nothing to install on shop computers.

Questions to ask before you buy

  1. Can one invoice include services and products, and are they reported by department?
  2. Does it have job stages that match how my workshop actually works?
  3. How does stock reduce when parts or materials are used on a job?
  4. Can I see customer dues by age, and supplier dues, in one place?
  5. Does the profit report include expenses and salaries?
  6. Can different staff have different access?
  7. Will you import my existing products and customers?
  8. Who trains my team, and how fast is support when something goes wrong?
  9. Can the software be customised if my business works differently?
  10. What does it cost per year, including support and updates?

How AutoCore ERP does it

We built AutoCore ERP for exactly this kind of business. It runs point of sale, job orders, the job board, every department, inventory, customer credit, suppliers, expenses and profit reports in one place, on the business’s own branded portal.

AutoCore is live at 786 Motor Sports & Auto Spa, which runs its PPF studio, detailing studio, car wash, oil change, accessories store and fitting labour on it.

Final tip

Whatever software you choose, start by writing down how a car moves through your shop from arrival to delivery, and how money moves from invoice to bank. Good software should fit that flow, not force you into someone else’s.
