n8n vs Zapier vs Make (2026): Which Automation Tool Should Your Business Use?

Zapier is the easiest, Make is the most visual and n8n gives you the most control. Here is a practical comparison of pricing models, AI features, hosting and when to choose each one.

Every business has busy work: copying leads into a CRM, answering the same WhatsApp questions, sending invoices, building the same weekly report. Workflow automation tools take that work off your team. The three names you hear most are Zapier, Make and n8n.

They all connect apps and run steps automatically, but they suit different businesses. We build automations on all three and specialise in n8n, so here is a practical, no-hype comparison.

The short answer

  • Choose Zapier if you want the fastest set-up for simple automations and your volume is low.
  • Choose Make if you want a visual canvas for multi-step workflows at a lower price than Zapier.
  • Choose n8n if workflows are complex or high-volume, you want AI agents, or customer data must stay on your own server.

Pricing and plan limits change often, so always check each vendor’s current pricing page before deciding.

Zapier: easiest to start

Zapier connects thousands of apps and is famously easy: pick a trigger, pick an action, done. For a small team that needs “new form entry → add to Google Sheets → send Slack message”, it is hard to beat.

Watch out for: cost at scale. Zapier counts tasks, so a busy workflow that runs thousands of times a month can become one of your bigger software bills. Complex logic with many branches can also get awkward.

Make: visual and flexible

Make (formerly Integromat) shows your workflow as a visual map of connected modules. It handles branching, loops and data transformation well and is usually cheaper than Zapier for the same work.

Watch out for: the learning curve is steeper than Zapier, and you still pay per operation, so high-volume workflows add up. Like Zapier, it is cloud only.

n8n: the most control

n8n is a workflow automation platform you can self-host on your own server or use as n8n Cloud. Its visual editor feels similar to Make, but you can drop into JavaScript or Python whenever a step needs custom logic, and call any API with the HTTP node.

Three things make n8n stand out:

  1. No per-task bills when self-hosted. You pay for the server, not for each run. Busy workflows do not get more expensive as you grow.
  2. Your data stays yours. Self-hosted n8n means customer data does not have to pass through a third-party automation service. This matters for healthcare, finance, government and any business with strict clients.
  3. Built for AI agents. n8n has native AI agent and LLM nodes for models like Claude and OpenAI, with memory, tools and human approval steps.

Watch out for: self-hosting means someone must look after the server, updates, backups and monitoring. That is exactly what our n8n care plans cover.

Real examples: which tool fits?

  • A clinic wants appointment reminders on WhatsApp. Low volume, simple steps: Zapier or Make is fine.
  • An online store syncs orders, stock and invoices between WooCommerce, an ERP and Google Sheets thousands of times a day. n8n, self-hosted: high volume without per-task costs.
  • A sales team wants an AI agent that reads every enquiry, scores it, drafts a reply and creates a CRM deal. n8n: AI agent nodes plus human approval.
  • A government or enterprise client requires data to stay in its own data centre. n8n, self-hosted on their servers.

Moving from Zapier or Make to n8n

Many businesses start on Zapier, then move to n8n when bills grow or workflows get complex. A migration usually means:

  1. Listing every active automation and what it does.
  2. Rebuilding them in n8n, improving them along the way (often several Zaps become one workflow).
  3. Running both side by side for a short period, then switching off the old ones.

How to decide in 5 minutes

Ask yourself:

  1. How many times a month will this workflow run? (Thousands → consider n8n.)
  2. Does sensitive data have to stay on our own servers? (Yes → n8n self-hosted.)
  3. Do we need AI to read, sort or write? (Yes → n8n or a carefully designed Make scenario.)
  4. Do we have someone to maintain a server? (No → n8n Cloud, or a managed care plan.)
